Important Note for viewers
I created this content mainly for my friend who asked me "How to record the Teams meeting and view it ?". So the Information in this content will match with KCET College students and Teachers. Other viewers might find some mismatches as it varies with their respective IT Admins.
Case 1 :
Joining the Meeting as a Guest
(Without Login)
If you're not logged-in the Microsoft Teams app
(You will usually do the following steps)
1. You will click Join in the Meeting Invitation
2. Then it will ask to join as how would you like to join?
3. Then you will click Join Meeting
4. Then it will ask your name and you'll provide your name
6. And finally you'll Join the meeting
If you usually follow the following steps you're joining the meeting as a guest
Then note these points :
1. You cannot start and stop a meeting recording
2. You can only see the recorded video, if it is shared with you

Case 2 :
Joining the Meeting as a Logged-In User
If you're logged-in the Microsoft Teams app
(You will usually do the following steps)
1. You will click Join in the Meeting Invitation
2. Then you will click Join now
3. And finally you'll Join the meeting
If you usually follow the following steps you're joining the meeting as a Licensed User
Then note these points
How to start and stop recording :
3. The recording meeting is notified to everyone and it also posted to the chat history
4. To stop recording, select (...) > Stop recording (Note : Sometimes it may take some time to display "Stop recording" after joining the meeting)
5. The recording is then processed (which can be seen in the Chat history),which will take awhile to complete
Who can record :
- Meeting Organiser can start and stop recording
- Also person from same org can start and stop recording
- Users joining as Guest cannot start and stop recording
- Recording continues even if the person who started the recording has left the meeting.
- The recording stops automatically once everyone leaves the meeting.
Play a meeting recording in Teams :
Go to the chat history in Teams and select Play to play the meeting recording directly in Teams after it is being processed.Where can i see the pre-recorded meeting :
1. Go to teamsPlay a meeting recording in Stream
In website
1. Open the Microsoft Stream Website and sign-in (Link : Click here)
2. Then select My Content > Videos.
3. There you will find the recorded videos and can play it.
In app
1. Download Microsoft Stream app(Link : Click here)
2. Sign-in into Microsoft Stream app
4. Click Sort > Publish date to see the videos by Order.
5. You can also download to view it offline.
Who can download and delete a meeting recording?
- Only the recorder can download and delete the video
- Other members can see the video in chat box or view it offline in stream app but cannot download
Download a meeting recording
Only recorders can download
1. Go to the meeting recording in the chat history and select Open in Microsoft Stream.2. On the Microsoft Stream portal, select
> Download video. Downloading in Microsoft Stream
Share a link to a meeting recording with others
1. Go to the meeting recording in the chat history and select Open in Microsoft Stream.
2. In Microsoft Stream, go to the meeting recording and select (
)
> Update video details.
3. In the Details section, you can change the Name, Description, Video Language and Thumbnail.
4. In the Permissions section, add people or Microsoft 365 groups who need viewer or owner access to the video.
5. In the Options section, you can turn on (or) off comments and also you can add Captions/Subtitle.
7. There you will see the video link and select copy
8. Paste the link into an email or Teams message and select Send
9. You can also share the video through Email
10. Add people or Microsoft 365 group Email and click Send and close
